VentraMind ("we," "us," or "our") is an AI-powered HVAC troubleshooting assistant. This policy explains what data we collect, why, and how we protect it. We are committed to transparency and keeping your data safe.

• Account data

  Your name, email address, company name, and trade role that you provide during sign-up or in settings.

• Chat messages

  All text messages you send and receive in the app, including HVAC queries, error codes, and model numbers. These are stored to provide conversation history.

• Voice recordings

  When you use the voice input feature, audio is temporarily processed for speech-to-text transcription. The audio file is not permanently stored.

• Images

  Photos you attach (unit photos, error displays, gauge readings) are stored in our secure cloud storage linked to your conversation.

• Location data

  If you grant location permission, we collect your approximate coordinates to show local weather conditions (temperature, humidity, air quality) relevant to HVAC diagnostics. This is optional.

• Device and usage data

  Your preferred language (from browser settings), device type, and pages visited within the app for analytics and improvement.

• IP address

  Collected automatically when you use our service, as part of standard server logs.

  Stores your account data, chat messages, and files. Hosted with encryption at rest and in transit.

  Processes your chat messages through AI models to generate troubleshooting responses.

• OpenWeatherMapWeather Data

  Receives your approximate coordinates (if location permission is granted) to return weather data.

• Account data— Retained for as long as your account is active.
• Chat messages— Retained for as long as your account is active. You can delete individual conversations from the History tab.
• Voice audio— Processed in real-time and not permanently stored.
• Images— Retained as part of your conversation history until you delete the conversation or your account.
• Usage analytics— Retained for up to 90 days, then anonymised.

Depending on your location, you have the following rights:

• •Deletion — Request deletion of your account and all associated data. Contact us to initiate this.
• •Portability — Request your data in a structured, machine-readable format.

We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), encrypted data storage, and access controls. While no system is completely secure, we take reasonable steps to protect your data.

VentraMind is not intended for use by children under 13 years of age. We do not knowingly collect personal data from children under 13. If we become aware that a child under 13 has provided us with personal data, we will take steps to delete it. Our sign-up process includes an age verification step.

Your data may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for such transfers in compliance with applicable data protection laws.

We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the "Last updated" date and, where appropriate, by in-app notification. Continued use of the app after changes constitutes acceptance.
